Our Process

Clients may choose to cancel their project at any time, after their contract is signed, by providing a written cancellation request. The terms for cancellation vary depending on the stage of the project, and can be found on page 2 of your Service Agreement (Section 11).

Within 10 days of signing your contract: As a consumer you are protected under the Canadian Consumer Protection Act of 2002. This means that within 10 days of signing a contract with us if you wish to cancel your project for any reason, you may do so risk free, your deposit will not be forfeited.

After 10 days: A client who cancels their project at this stage will forfeit their $500 deposit with Green Lion Eco Group. This is to cover costs incurred to secure the property site inspection.

After Site Inspection Passed: Clients who wish to cancel their project after their site inspection has passed must pay a flat termination fee of $3,500. This is to cover services rendered up to the date of written cancellation, such as building permit fees and LDC fees.

Full Refund: Clients are eligible to receive a full refund and waive any cancellation fees for the following reasons:

  1. Your LDC does not have the grid capacity to support the production of your system.
  2. A system size change of more than 0.5 kW, resulting in lowered system production.
  3. Additional costs required beyond the original scope of work for the project, including:
    1. Re-shingling
    2. Hydro meter relocation
    3. Gas meter extension
    4. Trenching

The total cost of your system includes:

  • Tier 1 Solar Panels (collects the solar energy)
  • Aluminum Racking (attaches panels to your roof)
  • A Single-phase Inverter (converts the solar energy to hydro)
  • A Dual-gang meter base (hosts both the hydro and solar meters)
  • A Critter Guard (prevents wildlife from damaging system)
  • Wiring for your system
  • Disconnect Switch
  • LDC connection fees*
  • Building Permit fees*
  • Project management fees
  • Broker fees

Your final system cost only (not including LDC and building permit fees) will be confirmed after your site inspection.

*LDC and building permit fees listed on the proposal are estimates and are subject to change based on the individual LDC or municipality.

If you would like to change your payment type, simply notify the accounts receivables department and they will arrange to have the switch completed. Once you have switched over to either Investment or FinanceIT, the payment terms and schedule will be switched to their respective payment schedule.

It’s important to note that failure to comply with the agreed upon payment terms will result in halting all work on your project and placing it in ‘On Hold’ status. This will delay the project timeline and work will not resume until payment is made.

All of our clients fall into one of two payment types: Investment or FinanceIT. For payment inquiries, please contact Lowe’s or our accounts receivables representatives directly.

Investment: Clients usually pay with financing through their bank, or make a cash payments independently. Payments are generally made after important milestones in your project, calculated as a percentage of the total system cost. You will receive a full breakdown of the payment structure and schedule in your service agreement; received when you sign a solar contract with Solar Brokers Canada and Green Lion Eco Group.

FinanceIT: This is a third party loan service that Solar Brokers Canada has partnered up with to help you finance your solar project. With a FinanceIT loan, you can pay for your solar system with as little as a $500 deposit, followed by a monthly payment plan when your project is installed. Once you sign up for FinanceIT, we will provide login credentials to access your loan information at: https://www.financeit.ca/en/direct/account/login.

Your project coordinator is your main point of contact at Green Lion Eco Group for the duration of your project. Project coordinators will work with you to complete your application for the Net Metering program, review site inspection results, and apply for grid capacity (space on the grid for the energy your system produces) with your hydro Local Distribution Company (LDC). They will also coordinate all aspects of your project related to installation and your IESO contract, to ensure your project is completed in a timely manner, and to your satisfaction.

Tax Rebates

To claim your HST rebate, start by contacting the CRA (1.800.959.5525) to register your business. Do so under your personal name as a sole-proprietorship. The CRA representative will ask you a few questions before registration, below you will find our suggested responses:

  1. Nature of Business – Ontario Microfit Program (generation and sale of electricity produced through solar panels to Local Distribution Company)
  2. Registration Type – Voluntary Registration
  3. Expected Annual Sale (Turnover) – Less than $20,000 per year
  4. Effective Date – Date of registration
  5. Frequency of Filing – Quarterly

Once your business is registered with the CRA you should receive a 4-digit security code. If you are not provided this please ask the CRA representative, as you will need both your business number and access code to file your HST. For all costs related to your solar project, ensure to provide all  receipts / and invoices to your accountant for filing. Your HST return can be filed once all invoices related to your project are complete. HST returns are filed on a quarterly basis, any quarters where partial invoices have been issued should be filed as a NIL return until all invoices are complete.

You can claim the HST on expenses related to your solar project including:

  • Your total system cost
  • Taxes on any payments you receive from your Local Distribution Company
  • Additional costs* related to your solar project, which can include:
    • Re-shingling
    • Trenching
    • Hydro meter relocations
    • Downspout relocations
    • Gas valve extensions
  • Any expense listed on Part 5 of the T2125 form (Statement of Business or Professional Activities)

It is the taxpayers’ responsibility to provide evidence of costs incurred that which are directly related to generating income from their solar system.

*You can claim these expenses by providing proof via (certificate or written confirmation of an expert opinion) that the additional costs were completed exclusively in relation to your solar project.

Site Inspections

In the case where additional work is may be required for your project, your coordinator will walk you through the scope of work, potential costs, and requirements d to complete the job. You can opt to have the work completed by one of our contractors, in this case you will have to sign an Additional Work Form, and the amount will be added to your final invoice or FinanceIT loan. All additional work must be completed prior to the mechanical installation. Alternatively, after consulting with your project coordinator, you may find a local contractor yourself to complete the work.

Your project coordinator will contact you within two weeks of receiving your approved contract to book a site inspection. Our inspection team works weekdays from 8am to 5pm, in 2-4 hour scheduled time slots, depending on the distance to the project site. Site visits generally only takes 45 min to 1 hour.

Part 1: The Site Visit

Drone flight over the roofWe will take pictures and assess the condition of your shingles. Roofs with poor shingles will receive a conditional pass from the inspector, and are highly recommended to re-shingle prior to installation.
You can opt to sign a waiver instead if you do not wish to re-shingle.
Measuring rafters and trussesThe inspector will enter the attic space(s) to obtain photos and measurements of rafters and trusses. They will also note any areas that are damaged, weathered, or moldy.
Photos of the hydro meterPhotos and measurements are taken to determine the service type and distance between the hydro meter and potential obstacles. This is to ensure there is sufficient space to install the electrical components of the project.
Obtaining roof measurementsThe preliminary project design is created from aerial maps of your site. With roof measurements our engineers can finalize the panel layout.
Checking for shading conditionsOur inspectors will check and measure any obstructions to your roof. If there is shading, this may require tree trimming, although your panels and inverter are already optimized for shading.

Part 2: Structural Analysis

 

Review of rafter and truss informationPhotos and measurements taken during the site visit are reviewed by a professional engineer to determine if reinforcements are required.


You can expect your project coordinator to share
the results of the site inspection within one week. They will also share a final layout design showing the exact composition of your solar array, finalized using specifications from your site visit.

The final layout design needs to be signed before moving forward with your project. Some changes may occur in your final layout design, compared to the preliminary design. Alterations will be made according to assessments from your site inspection. As a result, there may be slight differences in your final system design, cost, and generation predictions. It is important the homeowner agrees to any changes before moving forward with the project.

Site inspections are necessary to ensure your project site meets the required guidelines for installing a solar project. This will allow engineers to obtain exact measurements of your roof structure and confirm the final layout of your solar array.

LDC: Local Distribution Company

Connection request: This is an application to your LDC asking to confirm, and reserve grid capacity for your project’s production. After your application is submitted and reaches ‘Pending LDC’ status, your project coordinator will prepare and submit a grid capacity application with your LDC. Some LDCs require the homeowner’s signatures, your project coordinator will notify you if this needed in your case.

Connection agreement: This is a contract between the homeowner, and the LDC. Once grid capacity has been confirmed for your project, your LDC will issue a connection agreement for you to sign. , This will often be accompanied by the final connection and LDC fees associated with for your project. After the connection agreement is submitted with payment, we will contact your LDC to coordinate an electrical installation (connection) date.You may be required to send a void cheque or a direct deposit form to set up payments for your project.

Your LDC or Local Distribution Company, is the utility company which provides hydro  to the project site. Your LDC is also where your project coordinator will apply to reserve grid capacity for your project’s production. In the rare case that grid capacity is not available for your project, Green Lion Eco Group will refund all deposited costs.

Building Permits

Generally, eight documents are included in the building permit application:

  1. Application for Permit to Construct or Demolish
  2. Engineer’s Commitment of General Review
  3. Owner’s Authorization Form
  4. Approved Final Layout Design
  5. Wind/Load Report
  6. Truss Layout
  7. Site Plan
  8. Manufacturer Specifications for the solar panels, racking and inverter

Some municipalities require additional documents to submit the building permit. Your project coordinator will inform you should if such documents be required, prior to submitting the application.

The building permit is submitted once the client has approved their final layout design, the engineers have signed off on the project, municipal documents are completed accurately, and reinforcement concerns are addressed.

It can take some time to complete the required municipal mandated documents, and for the structural engineers sign off on the project. Municipalities also have their own internal processes, which can delay the approval of building permits.

A building coordinator will schedule a final site inspection with the appropriate municipality. Once the final site inspection is complete, after installation, and the inspector signs off on the project, the building permit will be closed.

For most projects, building permits are required. A building permit will be prepared and submitted on your behalf by our building department. The only municipalities which do not require building permits are Markham and Ottawa Municipalities (including: Ottawa, Nepean, Goulbourn, Gloucester, and Kanata).

Installation

We contract vetted and experienced installers based in the GTA to install and connect all of our solar projects. Provided the weather isn’t too extreme (i.e. heavy wind, snow, rain, or ice), creating hazardous driving and working conditions, our installers will be able to work on your roof.

Installation for your project is completed in two steps:

1) Mechanical Installation

2) Electrical Installation

What Happens?
  • The equipment will be delivered.
  • The layout will be drawn out on your roof.
  • The installers will mount the racking (which the panels rest on).
  • A wire management system will be implemented.
  • The solar panels will be mounted.
  • The critter guard is secured.
  • The Local Distribution Company (LDC) will disconnect your power in the morning.
  • The electrician will complete the electrical work while power is off.
  • The Electrical Safety Authority (ESA) will approve the work once completed.
  • After your electrical installation is approved, your power will be restored.

 

After your electrical installation is complete, your solar meter will be installed by your LDC, usually within 5 business days of your ESA inspection (depending on the LDC)
The LDC will not schedule the solar meter installation with Green Lion Eco Group. Rather, when a representative from the company is able to visit a project site, they will install the solar meter. As such, Green Lion Eco Group has no way of knowing when this stage will be completed. As the homeowner, we ask that you please provide photo evidence of your solar meter as soon as you see it has been installed. Subsequently, we will send an electrician within 3 days to commission (‘turn on’) your system.

There are three main criteria to reach before your project can be placed on our installation list:

  1. microFIT status reaches Pending Connection (grid capacity is approved)
  2. Building permit is approved (or not required)
  3. All pre-install requirements are complete (varies case-by-case)

Once these criteria are met, your project will be placed in our queue for installation. Installation dates can vary depending on the season, and the demand of the solar market. Our Operations and Quality Assurance teams will work quickly and efficiently to ensure your install is completed within building timeline. Your project coordinator will notify you of tentative dates for both your mechanical and electrical installations.
Please note, the electrical installation date is scheduled after mechanical installation is completed. This may occur much later than the mechanical installation, as it requires multiple parties to be coordinated for one date. As such, this is highly dependent on the schedule of your LDC and the ESA (electrical safety authority) inspector in your area.

Post-Installation & Maintenance

Monitoring for your system is taken care of by our Quality Assurance department. They will have a monitoring system setup in your name to track the production of each panel in your system. The monitoring system is a feature of the SolarEdge inverters. It is a web application accessible through multiple devices, including mobile, tablet, and PC/Mac. Our Quality Assurance department will provide you with the necessary login information so you can also monitor your system. They will also contact you if anything goes wrong, and will send someone to come by and correct any inefficiencies with your system covered by the workmanship warranty.

There are multiple warranties extended for the equipment we install for your system. There is a 3-year workmanship warranty offered by Green Lion Eco Group. Under this warranty, for any mechanical or electrical installation malfunctions, we will take the measure to have it repaired and corrected within those first 3 years.

Once the 3-year workmanship warranty has expired you can rely on manufacturing warranties for your solar panels (25-year; 10 years for panels, 25 years production guarantee), inverter (20-year), and aluminum racking (20-year) to ensure your system is protected. The solar panel warranty covers the cost of replacement panels as well as offering a production guarantee, and the inverter manufacturing warranty covers labour and shipping costs.

Following the system commissioning and contracting phases,  your utility company (LDC) will start paying you for the energy produced by your system., This will usually occur on the LDCs’ regular billing cycle.
